# How do organizations, workspaces and roles work in Nova?

Your company is one **organization** in Nova. Its Amazon accounts are grouped into **workspaces**, and each person works in the workspaces they are added to. Admins run the organization: accounts, people, billing and currencies. A Workspace owner runs one workspace's settings and cost inputs. Everyone else reads.

## What is a workspace?

A workspace is a set of Amazon accounts with its own people, its own name and its own reporting day. Every organization starts with a **Global Workspace** that holds every connected account: it cannot be deleted, and its accounts cannot be edited. Admins create other workspaces, in Settings, Organization, Workspaces, to group accounts by brand, region or client.

A new account joins the Global Workspace, and also the workspace it was connected from.

## What can each role do?

There are two levels. At the organization, a person is an **Admin** or a **Member**. In each workspace a Member sits in, they are a **Workspace owner** or a **Workspace member**. An Admin needs no seat: they open every workspace.

| Action | Admin | Workspace owner | Workspace member |
|---|---|---|---|
| Read the workspace's data in the App | Yes | Yes | Yes |
| Connect your own AI assistant through the MCP | Yes, every account | Yes, the accounts of their workspaces | Yes, the accounts of their workspaces |
| Set COGS, FBM costs, VAT, stock and your costs | Yes | Yes, in their workspace | No |
| Tag products, create exports | Yes | Yes, in their workspace | No |
| Rename the workspace, set its reporting day | Yes | Yes, in their workspace | No |
| Edit listings, where Nova turned edits on | Yes | Yes, in their workspace | No |
| Connect, rename or delete Amazon accounts | Yes | No | No |
| Create workspaces, choose their accounts and people | Yes | No | No |
| Invite people, change roles | Yes | No | No |
| Set the organization's currencies, billing | Yes | No | No |

Pages a Member cannot open stay in the menu with a padlock. On a workspace page, a Member can click **Ask to be Workspace owner**, and the admins are told.

## How do you invite someone?

1. Go to Settings, Organization, Members and click **Invite member**.
2. Enter up to 10 email addresses.
3. Choose the role: Admin, or Member with the workspaces they work in.
4. Send. Each person gets an email with a link.

An invited Member joins each workspace as a Workspace member. An admin makes them Workspace owner afterwards from that workspace's Members page, in Settings, Workspace, Members. Invitations expire after 7 days, and an organization can have 20 pending at once.

## Which settings belong to whom?

| Setting | Level | Where |
|---|---|---|
| Primary currency | Organization, chosen at sign-up | Changing it later needs support. See [Currencies](/docs/your-data/currencies) |
| Secondary currencies | Organization | Settings, Organization, General |
| Reporting day | Workspace | Settings, Workspace, General. See [Time zones](/docs/your-data/time-zones) |
| Amazon accounts | Organization | Settings, Organization, Amazon connections |

## How should an agency set up its clients?

1. Connect each client's accounts to your organization.
2. Create one workspace per client with that client's accounts.
3. Invite your team as Admins, or as Members seated in the clients they handle.
4. Invite the client's staff as Members of their own workspace only.

A client's staff then see their own accounts, in the App and in their AI assistant, and nothing of your other clients. To keep your team out of their member list, turn on **Hide admins from workspace members** in Settings, Organization, Members.

## Ask your AI

> Which accounts and workspaces can I see in Nova, and which workspace does each account belong to?
